Position: Operations Coordinator
Organization: Florida Debate Initiative, Inc. (FDI)
Reports to: FDI President
Location: On-Site – FDI Headquarters, Oviedo, FL (full-time)
Status: Full-Time Employee
Compensation: $50,000–$58,000 annually, commensurate with experience, plus a monthly healthcare stipend

Overview

The Operations Coordinator provides executive support to the President while running the daily operations of FDI’s headquarters office.

Reporting to the President, this in-office role blends executive and administrative support, front-office and office management, data and records management, event logistics, and hands-on support for FDI’s programs.

It is the organizational hub that keeps the office, calendar, and day-to-day operations running smoothly. The ideal candidate is exceptionally organized, discreet with sensitive information, and able to juggle many moving parts with professionalism.

Key Responsibilities

Executive & Office Support — Primary

  • Executive Support: Manage the President’s calendar, schedule meetings, coordinate leadership logistics, and prepare reports, presentations, and correspondence.
  • Reception & Front Office: Serve as a professional point of contact; answer and route calls, greet visitors, receive mail, and keep the reception area welcoming.
  • Office Management: Oversee daily office functions, supplies, equipment, and vendor relationships; support compliance with organizational policies.
  • Procurement & Records: Manage inventory and procurement for staff, programs, and events; maintain records, filing systems, and archives.
  • Master Calendar: Maintain the master calendar of events, programs, and deadlines across the organization.
  • Cross-Department Liaison: Serve as a liaison across departments and support special projects as assigned by the President.

Operations, Data & Events

  • Data & Archiving: Maintain databases for participants, alumni, registrations, and partners; ensure data accuracy and security; archive records and outcomes.
  • Program Support: Assist with program registration, enrollment, and participant records; respond to inquiries about eligibility and logistics; manage follow-ups.
  • Event Logistics: Support local and statewide events by coordinating venues, travel, materials, on-site check-in, volunteers, and participant communications.
  • Additional Duties: Provide hands-on event support and take on additional tasks as needed to keep operations running smoothly.

Additional Requirements

  • Florida Level II background screening
  • Valid driver’s license and reliable transportation
  • FLSA: Exempt, full-time, in-office

Qualifications

Candidate Background

  • Bachelor’s degree in education, political science, business, or a related field preferred; relevant experience may substitute.
  • Three to five years of experience in administrative, operations, or project-coordination roles.

Experience

  • Experience providing executive or administrative support and managing office operations.
  • Experience coordinating events and managing logistics.
  • Experience maintaining databases and organized records.
  • Candidates with strong administrative and operations backgrounds are encouraged to apply.

Skills & Competencies

  • Exceptional organizational skills and the ability to manage multiple deadlines at once.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and databases.
  • Ability to work independently and handle sensitive information with discretion.
  • Commitment to civics education and the FDI mission.
