HRIS/Onboarding Specialist The HRIS/Onboarding Specialist serves as the primary point of contact for applicants throughout the onboarding process while supporting the administration and integrity of the company's Human Resources Information System (HRIS). This role coordinates pre-employment activities, ensures a positive onboarding experience from offer acceptance through initial employment, maintains accurate HRIS data, supports reporting and system administration, and helps drive efficient, compliant, and user-friendly HR processes.
Essential Duties and Responsibilities
Applicant Onboarding
- Manage the onboarding process from offer delivery to acceptance through completion of onboarding requirements.
- Coordinate pre-employment activities, including background checks, drug screens, employment documentation, security clearance forms, HRIS setup, and all other required forms.
- Ensure applicant and new-hire information is accurately entered into the HRIS and related systems.
- Partner with hiring managers, HR, IT, security, payroll, and benefits teams to facilitate onboarding.
- Monitor onboarding progress and follow up on outstanding requirements.
- Provide applicants and new hires with information regarding onboarding requirements, company policies, benefits, payroll, and HR resources.
- Maintain onboarding communications, templates, checklists, and procedures.
- Track onboarding metrics and identify opportunities to improve the applicant experience.
Recruiting Operations Support
- Act as a liaison between hiring managers and Recruiting to ensure smooth recruiting operations.
- Responsible for weekly, monthly and quarterly Recruiting metrics.
- Ensure that vendor invoices are allocated properly.
- Responsible for online state job postings.
HRIS Administration & Reporting
- Serve as an HRIS resource for applicants, new hires, managers, and HR team members.
- Maintain accurate applicant, new-hire, organizational, and position data within the HRIS.
- Support HRIS workflows, forms, reporting, testing, upgrades, and system enhancements.
- Conduct data audits and resolve data integrity issues.
- Troubleshoot HRIS issues and coordinate with system vendors when needed.
- Develop and maintain routine and ad hoc reports, dashboards, and workforce metrics.
- Support HRIS integrations with recruiting, payroll, benefits, timekeeping, learning, and performance management systems.
- Maintain HRIS documentation, user guides, and standard operating procedures.
Compliance & Process Improvement
- Maintain confidentiality of applicant, employee, and company information.
- Support compliance with employment laws, company policies, and data security requirements.
- Assist with audits, recordkeeping, and reporting activities.
- Identify opportunities to improve onboarding, HRIS processes, automation, and user experience.
- Participate in HR technology and process improvement initiatives.
Qualifications
Education
- Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field preferred.
- Equivalent combinations of education and experience may be considered.
Experience
- 1-3 years of experience in HR, HRIS administration, onboarding, recruiting, or a related field.
- Experience administering an HRIS, preferably Paycor or a similar platform.
- Experience with Deltek Costpoint or other business systems preferred.
- Experience managing applicant onboarding processes in a multi-location environment preferred.
- Experience with HR data management, reporting, and system troubleshooting.
- Experience supporting HRIS implementations, integrations, upgrades, or process improvements preferred.
Knowledge, Skills & Abilities
- Knowledge of HRIS platforms and onboarding processes.
- Strong attention to detail and commitment to data accuracy.
- Excellent organizational, communication, and customer service skills.
- Strong analytical and problem-solving abilities.
- Ability to manage multiple priorities and meet deadlines.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency with Microsoft Office, particularly Excel.
- Ability to learn and administer new HR technologies and systems.
Preferred Qualifications
- Paycor administrator experience.
- HRIS implementation or migration experience.
- Experience supporting HRIS integrations across recruiting, payroll, benefits, and timekeeping systems.
- Experience supporting a multi-state workforce.
- HR certification (SHRM-CP, SHRM-SCP, PHR, or SPHR).
- Experience in government contracting or other regulated environments.
- Experience with HR reporting, analytics, and data auditing.
Physical Requirements

Standing in work areas and walking between work areas will be required. This position requires an employee to occasionally bend, stoop, kneel, crouch, crawl, climb or balance; reach, push, and pull drawers and doors open and closed. The employee must occasionally lift and/or move up to 20 pounds.
