Required Qualifications

Bachelor's degree and a minimum of 3–5 years of progressively responsible administrative or executive support experience, or an equivalent combination of education and experience.

Demonstrated experience supporting senior leadership (e.g., dean, vice president, executive director) in a higher education, nonprofit, or comparable professional setting.

Exceptional written and verbal communication skills, with the ability to draft polished, professional correspondence with minimal oversight.

Proven ability to exercise discretion and maintain confidentiality regarding sensitive personnel, academic, and administrative information.

Strong organizational skills and demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.

Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools.

Preferred Qualifications

Experience within a university setting, particularly supporting an academic dean's or department chair's office.

Familiarity with University of Pittsburgh systems and processes (e.g., PeopleSoft/Pitt Worx, Concur, PantherExpress).

Experience coordinating events, Board relations, or donor/alumni engagement.

Master's degree in a relevant field.


Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.


Essential Functions

The Executive Assistant to the Dean provides high-level, confidential administrative support to the Dean of the School of Social Work, serving as a key point of coordination between the Dean's Office and internal and external stakeholders. This position manages the Dean's calendar and correspondence, coordinates School-wide initiatives and events, prepares briefing materials and communications, and exercises independent judgment and discretion in handling sensitive academic, personnel, and administrative matters. The Executive Assistant serves as a trusted advisor on office operations and represents the Dean's Office with professionalism in interactions across the University and with external partners.


Physical Effort

Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
