Events and Project Manager

Job Description

The University of South Florida College of Nursing is seeking a detail-oriented Events and Project Manager to join its Marketing and Communications team. This person will manage all creative projects, from intake to completion, ensuring deadlines, quality standards and objectives are met. This person will also lead planning and execution for all internal events within the College of Nursing, collaborating closely with partners within the College, as well as external and internal partners, to deliver engaging experiences that strengthen brand awareness, stakeholder engagement and impact.Minimum Qualifications:

Bachelor's degree and four years experience or a combination of post high school education and experience equal to eight years.

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.
• Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor's degree;
• (c) Six years of direct experience for a master's degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Knowledge, Skills and Abilities

Familiarity with project management platforms, including Monday.com.
Experience coordinating multiple events simultaneously.
Close attention to detail and follow-through.
Ability to foster teamwork. Collaborative, service-oriented approach.
Performs work under minimal supervision.
Ability to lead project teams and consistently meet deliverable deadlines.
Ability to manage competing priorities in a deadline-driven environment.
Performs complex tasks typically following established processes.
Excellent oral and written communication skills; focused on customer and client satisfaction.
Excellent project management and organizational skills.

Preferred Requirement

Professional experience at an academic health center, university or health care system.

Working Conditions

Environment - Typical indoor environment/office setting.
Physical Requirements - climbing, standing, stooping, and/or typing; Ability to lift up to 20lbs as needed.
Travel - Ability to travel to other USF campuses and/or other locations as requested.Working at USF

Plan, coordinate, and execute College of Nursing internal events, including faculty and staff events, pinning ceremonies, workshops, and other internal programs in coordination with appropriate College of Nursing and or University of South Florida partners.

Manage all logistical elements of events, including timelines, run-of-show documents, venue coordination, catering, audiovisual needs, accessibility accommodations, and on-site support.

Serve as the primary event contact for internal stakeholders, vendors, and university partners.

Develop and manage event budgets; track expenses and ensure fiscal responsibility.

Ensure events align with USF and College of Nursing branding, tone, and institutional standards.

Partner with marketing and communications colleagues to ensure events support broader messaging and strategic initiatives.

Support event-related communications, including invitations, signage, presentations, and internal promotional materials.

Coordinate the capture of event content (photos, video, quotes) for internal communications and future marketing use.

Project Management

Manage multiple marketing and communications projects simultaneously, from planning through completion.

Use Monday.com to build project plans, manage workflows, assign tasks, track deadlines, and communicate progress.

Coordinate closely with marketing and communications team members, faculty, staff, vendors, and campus partners.

Proactively identify risks, adjust timelines, and resolve issues to ensure successful project delivery.

Conduct post-event evaluations to assess effectiveness and identify opportunities for improvement.

Maintain documentation, templates, and best practices to improve efficiency and consistency across events and projects.

Lead project status meetings to ensure communication among team members.

Work with vendors as needed for project completion, including printers, freelancers, etc.

Establish standard operating procedures that guide work, including project intake, approvals, etc.
