Overview
The Maintenance & Facilities Coordinator will coordinate and prioritize the day-to-day operations for the Facilities and Maintenance Departments. They will provide support to the Facilities/Maintenance team; with facilities, equipment, upgrades, and other related items
Education & Experience Requirements
- Associate’s degree in related field required or equivalent demonstrated skills and abilities, required.
- Bachelor’s degree in related field or equivalent demonstrated skills and abilities, preferred.
- A minimum of 2 years’ experience working in a technical or industrial environment is required.
- Administrative duties in an office environment.
Job Responsibilities
- Oversee the daily operations, maintenance, and safety of an organization’s physical workspace. Act as the primary liaison between employees, vendors, and management to ensure a safe, efficient, and well-maintained environment.
- Maintenance & Repairs: Schedule and supervise preventative maintenance and repairs for building systems (HVAC, lighting, plumbing, etc) and grounds.
- Vendor Management: Liaise with third-party contractors (janitorial, security, landscaping, etc), and ensure services meet contracts, agreements, and quality standards.
- Office Operations & Logistics: Oversee office moves, furniture reconfiguration, and space planning.
- Administrative Support: Process invoices, maintain accurate records of maintenance, and maintain facility utility spreadsheets.
- Work Order Management: Act as the first point of contact for employee requests, handling maintenance tickets through a CMMS (Computerized Maintenance Management System)
- Support projects and maintain departmental task lists. Report progress, changes, and any issues.
- Coordinate & maintain procedures for recording, tracking, and reconciliation of CapEx and MAPRO projects related to Facilities and Maintenance work.
- Coordinate special projects at the direction of the, Facilities Manager, Maintenance Manager and Maintenance Coordinators.
- Maintain the preventative Maintenance system for all Maintenance and Production equipment. Verify preventive Maintenance is being completed as required.
- Assist Facility and Maintenance leaders with information gathering to help drive Continual Improvement efforts within the department and throughout the company.
- Assist in the design and implementation of office layouts, room upgrades, and personnel moves as directed to meet company needs and deadlines.
- Coordinate and monitor vendors, contractors, service providers as required. Communicate with vendors to ensure compliance needs are completed.
- Validate contracted costs and services, vendor requisitions and invoicing. Research and resolve invoice variances. Record costs as directed per project.
- Work with Maintenance/Facilities leadership to implement changes to monitoring and compliance systems to ensure effectiveness of change and that they meet corporate goals.
- May schedule Maintenance interviews and consolidate interview notes.
- Maintain and coordinate the lock and key system for all facility locks.
- Perform other duties as requested by management.
Skills Needed
- Proficiency in Microsoft Office programs, required.
- Ability to work through others to obtain information and get work done.
- Ability to work well with ever changing priorities and or stuations.
- Excellent organizational and time management skills.
- Must be a self-starter who can work well with people at all levels.
- Must be able to work with minimal supervision and be capable of self-checking completed work.
- Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Excellent oral and written communication skills.
- Understand and apply safe work practices.
Working Conditions & Physical Requirements
- Fast-paced office environment within a manufacturing setting.
- Overtime may sometimes be required.
- Must be able to travel between various facilities.
- Appropriate PPE must be worn where posted and required.
- Majority of time spent at desk working on computer.
- Must be able to access all areas of operation, including second floors.
- Required to sit, stand, walk, and bend.
- Exposed to a combination of office and shop environments.
