Academic Services Administrator

Job Description

This position serves as the lead for designing, developing, and delivering a high-quality portfolio of educational and training offerings for lifelong learners aged 50+, ensuring alignment with OLLI's mission and the expectations of a highly engaged, intellectually curious community. This role exists to provide structure, consistency, and innovation in course and instructor development by leading the identification, vetting, and support of instructors; mentoring and guiding volunteers; establishing standardized processes for course creation, evaluation, and training; and collaborating with internal teams to ensure seamless program delivery and effective marketing. By leveraging data, best practices, and strong relationships across USF and the broader community, this position drives program quality, member satisfaction, and sustainable enrollment growth.Minimum Qualifications:

This positions requires a Bachelor's degree in Business, Education, Liberal Arts or a related field with a minimum of two years of experience or a Master's degree in education or a field of study related to the academic program.

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.
• Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor's degree;
• (c) Six years of direct experience for a master's degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications:

Bachelor's degree in Business, Education, Liberal Arts, or a related field. Recent graduate to mid-career professional. Strong relationship-building, communication, and business development skills, with proficiency in Microsoft Office and Canvas Catalog (or similar tools). Responsibilities:

Program & Course Development
\n

  • Serve as Course/Program development leader for the USF OSHER Lifelong Learning Department which is a program for lifelong learners 50+up. \n
  • Must be comfortable working with a senior population of high achieving individuals who value lifelong learning and the OLLI community. \n
  • Ability to write course syllabus and course description in a standardized format and template based on input from instructor pool on the courses they are developing. \n
  • Ability to fill out and use standard template to import course information and description into registration system.\n
  • Define and develop a course evaluation and instructor process. \n

Instructor & Volunteer Management
\n
  • \n
  • Lead and mentor a team of OLLI volunteers in identifying potential courses and instructors for OLLI. \n
  • Develop and lead a process for identifying and vetting these instructors and courses including utilizing criteria based on predefined subjects or areas including utilizing a fixed number of days and teaching slots as defined by a strategic course offering plan.\n
  • Ability to source potential instructors from around USF, the membership and the community through influencing and negotiating skills. \n
  • Work with other OLLI team members to identify best in class instructors based on popularity and the ability to fill courses. \n
  • Use that knowledge to develop a training course based on best practices derived by these best-in-class instructors. \n
  • Hold and monitor training courses for new instructors before each term.\n

Operations & Program Delivery Support

  • The ability to attend courses and sessions at the various places where OLLI holds courses.\n
  • Work with the Operations Manager (OM) to ensure smooth class and session delivery and help inform OM for the marketing of our programs and courses.\n
  • Various duties in support of the OLLI department and its mission as directed by the Office Manager or Director.\n
