National Audubon Society’s membership program is responsible for raising $41M annually from over 350,000 individuals. The program encompasses direct mail, canvassing, telemarketing, peer-to-peer, and digital fundraising. The Coordinator, Direct Response will report to the Senior Manager, Direct Response and will also work closely with the Manager, Direct Response to support the success and growth of the membership program. The Coordinator will be responsible for the various functions related to direct marketing campaigns, including campaign production, invoice processing, inventory management, and general administrative duties. The Coordinator will collaborate closely with cross-departmental teams, as well as external vendors, in support of the team’s fundraising objectives. This role would suit an organized, proactive and detailed go-getter, looking to grow in the non-profit / direct response marketing sector.
This position is classified as hybrid, in accordance with Audubon’s “Where We Work” Policy. Hybrid employees are expected to work in an Audubon office every Monday and Tuesday and an additional two days each month of the employee’s choosing. Candidates should be located within commuting distance of Audubon's office in New York, NY.
Compensation:
Assist with all production functions related to direct mail campaigns (art/print review, data review, set-ups, etc.).
Coordinate Direct Response donor acknowledgements, including inventory tracking, data review and copy refreshes.
Act as the primary point of contact for Supporter Care: respond to, or delegate Supporter Care cases that are escalated to the team; act as back up for Supporter Care in case of emergencies; provide Direct Response team with a periodic overview of Supporter Care cases; work with Supporter Care vendor and Direct Response team to develop and maintain response protocols.
Provide administrative support to the canvassing and telemarketing programs.
Track premium inventory and fulfillment for the direct mail program.
Coordinate and reconcile postage accounts.
Provide administrative support, including invoice tracking and processing; maintaining Direct Response's general files and protocol documentation; handling direct mail returns and updating donor records; scheduling meetings, including coordination required for in-person meetings.
Make basic updates to content on Direct Response owned web pages.
Assist Senior Coordinator, Mid-Level Giving with special projects like Joint Cost Allocation.
Assist Manager, Direct Response on data-related projects as needed.
Support coordination of team events and meetings.
Maintain and foster culture of safety.
Other job-related duties as assigned by supervisor.
Bachelor’s degree in communications, marketing, or a closely related field preferred.
At least 1-2 years’ administrative support experience; prior experience in a non-profit setting preferred but not required. An equivalent combination of education and work experience will also be considered.
Detail oriented with strong follow-through.
Work independently on assigned tasks.
Experience managing relationships with agencies and outside partners preferred.
Ability to solve problems, meet tight deadlines, multi-task, and manage resources effectively is essential.
Proficiency in database usage - Salesforce and/or EveryAction is preferred.
Ability to work effectively in a team environment.
Excellent verbal, written, and interpersonal communication skills.
Demonstrated ability to handle confidential information with discretion.
