SUMMARY
The Receptionist serves as the welcoming face of Chapin School, creating warm and professional first impressions for students, families, faculty, and visitors. This role provides essential front-office support across a range of administrative functions, including greeting and directing visitors, managing incoming calls, coordinating transportation, and assisting with general clerical tasks that support the daily operations of the school.
RELATIONSHIPS
This position reports to the Head of School and works closely with campus faculty, staff, visitors, parents, and vendors.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Must be able to successfully perform the following essential duties and other duties as may be assigned.
● Answer, screen, and direct incoming calls; transfer to voicemail as needed; provide callers with general school information including address, directions, fax numbers, and website.
● Greet, log, announce, and direct all visitors to the school.
● Coordinate and process B6T transportation forms with respective school districts; arrange bus transportation for field trips and athletic events.
● Manage incoming and outgoing mail, including express delivery services (FedEx, UPS, etc.).
● Assist with ordering, receiving, stocking, and distributing office and school supplies.
● Support general clerical functions including photocopying, filing, collating, and faxing; coordinate copier service and repairs as needed.
● Track daily attendance and student dismissal plans; provide reports to faculty and staff as needed.
● Perform additional duties as assigned by the Head of School.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
EDUCATION AND/OR EXPERIENCE
● High school diploma
● One-year administrative experience
LANGUAGE SKILLS
Must be able to speak, read, write, and understand English.
PHYSICAL DEMANDS
This is largely a sedentary role; however, some physical work is required. This requires the ability to lift up to 20 pounds, open cabinets, and bend or stand as necessary.
