ABOUT THE ROLE

The Executive Assistant to the CEO at Arium Networks serves as a trusted partner and strategic resource to the Chief Executive Officer and multiple executives. This role provides advanced, diversified, and highly confidential administrative support requiring exceptional judgment, discretion, and a thorough understanding of company priorities, culture, and leadership expectations. The ideal candidate operates with a proactive mindset, anticipates executive needs, engages effectively with key stakeholders such as the Chief of Staff, executive leadership team, and the Board, ensuring seamless day-to-day operations for the CEO and the executive office.

WHAT YOU WILL DO

Executive Support & Communications
  • Serve as the primary point of contact for the CEO and executive office, managing all inbound and outbound communications with professionalism and discretion.
  • Proactively communicate and coordinate with the Chief of Staff, other executive leaders, and Executive Assistantsas needed for efficient and effective delivery of immediate priorities and strategic objectives.
  • Draft, edit, and produce executive-level documents, presentations, reports, and correspondence for review and delivery by the CEO and other executives supported.
  • Screen and prioritize mail and email messages; organize and route communications based on content, urgency, and relevance.
  • Research and respond to inquiries in a timely manner.
  • Handle all confidential materials related to company strategy, company performance, personnel, and development with the utmost discretion.
Calendar, Travel & Logistics
  • Organize and manage internal and external meetings - including leadership reviews, board meetings, and external partner engagements - handling all meeting requirements.
  • Manage the CEO and other executives' complex calendars, proactively resolving scheduling conflicts, and ensuring alignment with strategic priorities.
  • Coordinate executive travel arrangements, including airfare, lodging, ground transportation, and detailed itinerary preparation.
  • Coordinate weekly leadership team meetings and other recurring cadences.
Project & Action Item Management
  • Support the CEO and Arium Networks executive leadership team with ad hoc projects, strategic initiatives, and special requests.
  • Manage action items, goals, and objectives generated from meetings; follow up to ensure timely completion and issue status reports as appropriate.
  • Track internal and external documents requiring CEO review or signature; follow up to ensure execution within required timelines.
Financial & Administrative Operations
  • Serve as a liaison between the CEO and key internal and external stakeholders, to facilitate communication, resolve issues, and drive organizational performance.
  • Prepare, review, and submit expense reports to Accounts Payable in a timely and accurate manner.
  • Provide backup support to other members of the executive leadership team as needed.


WHAT YOU WILL NEED TO SUCCEED

Education / Certifications
  • High school diploma or equivalent required.
  • Bachelor's degree or advanced coursework in Business Administration, Communications, or a related field preferred.
  • Professional certifications (e.g., CAP, CEA) are a plus.


Skills and Experience
  • Minimum of 7 years of executive administrative experience supporting C-level executives, preferably in a technology or network services environment.
  • Prior experience directly supporting a CEO or equivalent executive strongly preferred.
  • Demonstrated experience in a fast-paced, high-growth company environment is a plus.
  • Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms (e.g., Teams, Slack, Zoom).
  • Exceptional written and verbal communication skills, with the ability to represent the CEO's voice and intent.
  • Demonstrated ability to manage highly sensitive and confidential information with absolute integrity.
  • Attention to detail with excellent follow-through and time management capabilities.
  • Ability to work autonomously, exercise sound judgment, and effectively prioritize in a dynamic environment.
  • Initiative-taking, self-directed, and solutions-oriented approach to work.
  • Availability and flexibility to respond to urgent matters in a 24-hour environment.
  • Outstanding interpersonal skills with the ability to engage effectively across all levels of the organization and with key external stakeholders such as the Board.
  • Working knowledge of finance and accounting principles.
Organizational Relationship

The Executive Assistant to the CEO reports directly to the Chief Executive Officer of Arium Networks, supporting other C-Suite executives as assigned, and works in close collaboration with the broader executive leadership team.

Where you will work

This role falls into our hybrid work model, which is 2-days work from home (Friday and Monday) and 3-days in the office (Tuesday through Thursday) to optimize collaboration, relationship building and key stakeholder engagement and may require some travel as needed.

Compensation

The pay range offered for this position is $88,000 - $111,000 per year. A candidate's offer is determined by various factors including but not limited to, depth of experience, role-related knowledge and skills, relevant education or training, internal alignment, and work location. Depending on the position offered, the compensation package may also include incentive compensation opportunities in the form of a discretionary annual cash bonus or commissions, and equity incentives
