Job Description
The Medical Education Program Specialist will perform specialized administrative work in support of a medical residency or medical clerkship program within the College of Medicine department at USF Health. This position provides administrative coordination for assigned graduate and post-graduate medical education programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, scheduling and rotation issues, and other administrative matters. This position will also assist with the non-ACGME accredited fellowships, observer requests/medical students (1st - 3rd years), reimbursements, and the educational components of the website.

This position is not eligible for Visa Sponsorship.• This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

-Works closely with the clerkship/residency program director to establish, implement, and maintain program policies, procedures, and handbooks.
\n
-Monitors and organizes student/resident progress through the rotation to ensure educational objectives are being met. Initiates action where necessary to maintain academic standards of the clerkship/residency.
\n
-Coordinates with students/residents and faculty in adjusting and modifying individual schedules. Serves as liaison between students and faculty on a range of academic, administrative and personal issues.
\n
- Advises students on curriculum, testing and associated requirements.
\n
- Coordinates, administers, proctors and grades student/resident testing, including National Board Exams.
\n
-Develops and maintains databases and spreadsheets to track students through program; compiles and analyzes statistical and operational data; develops reports as requested.
\n
- Screens and responds to daily correspondence regarding clerkship/residency program.
\n
-Plans and coordinates various events, such as orientation, receptions, in-service examinations, research day, match day, graduation. Manages logistics including location, room set up, A/V needs, ordering food, program planning, etc.
\n
-Organizes and posts curriculum-related materials to Blackboard, including rotation schedules, preceptor assignments, professor presentations, weekly quizzes, multidisciplinary teaching conferences, clinical skills assessments, and handouts.
\n
-Maintains and updates confidential files and records, ensuring that ethical and legal guidelines and maintained.
\n
-May serve as liaison regarding resident leave, pay source, benefits, health and life insurance, medical licensure applications.
\n
-Performs other administrative duties as needed by the department.
