Job DescriptionOwns day-to-day execution of the enterprise Records & Information Management (RIM) program, operationalizing approved retention and information governance requirements through clear procedures, controls, and technology enablement. Partners with Legal, Privacy, Compliance, and IT to implement updates to the retention schedule and related standards, support defensible disposition, and drive adoption across business units and geographies. This is an execution-focused, mid-level role responsible for independently driving program deliverables (cadence, documentation, implementation plans, and adoption) within established policies and a defined governance model.
ResponsibilitiesProgram Execution and Operational Governance- Maintain and administer the enterprise retention schedule and supporting record type inventory; coordinate at least annual reviews with Legal/Compliance and business stakeholders
- Operationalize and maintain approved records management policies, procedures, and standards (e.g., playbooks, SOPs, job aids); drive consistent execution across departments and subsidiaries
- Act as the RIM program point of contact for retention and disposition practices; translate approved requirements into practical guidance and workflow steps (in partnership with Legal/Privacy/Compliance)
- Lead cross-functional governance routines (Legal, IT, Compliance, HR, Finance) to track decisions, drive action items, and ensure follow-through on compliance and operational readiness
- Maintain a regulatory/requirement inventory by mapping record categories to retention requirements based on guidance from Legal/Privacy/Compliance; document assumptions and approvals for defensibility.
- Coordinate with Legal/Privacy/Compliance on regulatory changes and resulting schedule updates; prepare drafts for review and capture sign-off in program documentation
- Manage change control as operations evolve (new record types, systems, and processes); update documentation, communicate impacts, and drive adoption
Records Management/Disposition- Oversee timely, defensible disposition of eligible records (paper and data) not subject to holds or preservation obligations; manage destruction approvals (Legal/business) and maintain disposition logs/certificates
- Conduct periodic audits to prevent over-retention and confirm adherence to the schedule
- Maintain practical guidance (FAQs/quick guides)
- Serve as business owner/key stakeholder for records/content management and archival tools
- Define requirements for retention automation (classification, labels, disposition workflows) in enterprise systems
- Coordinate with IT to ensure certain data retention configurations across email, storage, and collaboration platforms (e.g., M365/SharePoint)
- Identify, recommend, and help implement RIM process and technology improvements aligned to the information governance strategy and approved roadmap
Audit, Metrics, and Reporting- Define and track program KPIs (schedule compliance, hold response, disposition completion, training)
- Perform periodic compliance audits and drive remediation with business owners
- Provide program status reporting to leadership (risks, progress, and maturity) and maintain defensible documentation
QualificationsYOU MUST HAVE- 5-7 years of progressive experience executing records management / information governance programs (RIM), including retention schedule administration and defensible disposition
- Strong project/program execution skills; able to work with self-direction, manage multiple priorities, and drive cross-functional deliverables to completion
- Experience partnering with Legal Operations, Compliance, Privacy, and IT on governance execution and technology implementation
- Clear communicator who can translate approved requirements into practical guidance; knows when to escalate questions to Legal/Privacy/Compliance
WE VALUE- Bachelor's degree in information/library science, business, paralegal studies, or related field (significant experience considered in lieu of degree)
- Relevant certifications (CRM, IGP, CIP) a plus
- Hands-on experience with records management, data/enterprise content management, and/or M365 retention capabilities (labels, policies, disposition workflows) a plus
