We are looking to add new talent to our growing team! We are currently seeking a Health & Safety Systems Specialist to work in a technical support role with highly skilled professionals on diverse project teams in a dynamic environment. This is an excellent opportunity to join a growing group and company and get involved in a variety of projects for a diverse range of clients. This is a full-time position ideally located in our Burlington, MA, Boston, MA or Bedford, NH offices. We are open for other locations for the ideal candidate.
The Health & Safety Systems Specialist leads the design, integration, administration, and continuous improvement of contractor safety, medical surveillance, and training systems. Acting as a key liaison between H&A and external partners, including clients, contractor safety platforms, medical providers, and insurance carriers. The role ensures health & safety programs are supported by effective, reliable, and well-aligned systems.
In addition to focusing on administration, this position applies systems thinking to evaluate how information flows across platforms and stakeholders, proactively identifying gaps, risks, and opportunities for improvement. The Specialist drives process enhancements that strengthen data integrity, improve user experience, reduce redundancies, and support scalable program growth, while also supporting medical case management and workers’ compensation activities.
DUTIES/RESPONSIBILITIES
In this position, you will:
- Split time between process analysis/improvement efforts and completing technical tasks (e.g., entry/maintenance of contractor data, supporting training and compliance management).
- Analyze cross-functional workflows, identify bottlenecks or inefficiencies, and recommend or implement improvements to reduce waste and enhance safety management systems.
- Support and coach staff and process users on system and workflow best practices.
- Serve as primary administrator for contractor safety platforms (e.g. ISNetworld, Avetta, or similar), ensuring accurate data entry, responding to user inquiries, and facilitating information sharing between H&A, clients, and partners.
- Support administration of the company’s medical surveillance and training programs—including scheduling, tracking, and compliance reporting.
- Collaborate with other departments, 3rd party medical provider, and insurance provider to administer injury case management and workers’ compensation claims.
- Prepare and/or review written communications and compliance, or data deliverables and act as the health and safety team’s document control.
- Engage in internal and external communications with staff, Principals, Client Account Managers, clients, regulatory representatives, and insurance/carrier partners.
- Demonstrate the ability to thoughtfully interpret applicable standards and assess how they apply to our medical, training, and programmatic work.
- Plan all work in accordance with company and client health and safety protocols.
- Demonstrate the company’s foundational safety behaviors.
- Demonstrate and apply technical competence and knowledge of health & safety best practices, applicable standards, and professional practices to assigned tasks.
SKILLS/EXPERIENCE
Minimum Skills and Requirements:
- Bachelor’s degree in a relevant field (e.g., safety, engineering, business administration, industrial and labor relations, or similar).
- 5+ years of related professional or technical experience.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills, including the ability to interact effectively with internal and external stakeholders.
- Demonstrated capability for systems thinking and process analysis.
- Proficient computer literacy skills, including the use of the Microsoft Office 365 Suite (Word, Excel, PowerPoint, Teams, Forms, and SharePoint) and the ability to learn specialized software essential for health & safety data/systems management.
- Ability to work independently and as part of a team, showing a positive attitude, resourcefulness, flexibility, and ownership over process improvement initiatives.
Preferred Skills:
- Experience as a platform administrator for contractor safety management systems.
- Experience supporting medical surveillance programs, training tracking, case management, or workers compensation administration.
- Experience in process improvement, workflow optimization, or business/system analysis.
- Familiarity with regulatory frameworks and best practices in environmental health & safety.
- Some project management or task management experience.
The salary range for this position in Burlington, MA, Boston, MA, and Bedford, NH is $75,000 - $90,000 annually. Actual compensation will be based upon a variety of factors such as education, related work experience, certificates, skills, and current market conditions. Haley & Aldrich reviews salary ranges each quarter to assess competitiveness with the market.
