Department Overview

The Property Specialist, Senior is the second of a 2 series classification. It is distinguished from the lower level by the level of responsibility and accountability for daily operations and inventory control functions.

Function/Duties of Position

Restock

  • Expected to have extensive working knowledge in one or more disciplines of Distribution, including: Linen Distribution, Surgery Supply Restock, CATH/IR/GI Supply Restock, Med Gas Distribution, Scrub Distribution.
  • Assigns work to employees or students, such as de-casing, organizing or put away.
  • Completes all tasks or assigns tasks to another employee trained to perform the duties, in an effective manner.
  • Develops and writes processes & procedures for their respective Distribution discipline, outlining critical tasks and workflow.
  • Develops and documents training tools to cross-train team members in multiple disciplines.
  • Visually inspects and counts items against the invoice then checks to see that all items are in good condition.
  • Effectively rotates product, following OHSU procedures and guidelines and maintains a record of items with expiration dates. Inspects designated locations for expired product, removing any items that meet the criteria for removal.
  • Develops and maintains professional relationships with Customers.
  • Receives and answers questions from department staff regarding stock availability and Restocking procedures.
  • Effectively communicates with Customers, team, Supervisor and Vendors about Restock operations.

Training

  • Facilitates cross-training of team members to increase team performance potential.
  • Provides continuing education to team, keeping processes & procedures current to the needs of the Distribution discipline.

Inventory

  • Inspects, tracks and adjusts inventory of supplies as needed, daily.
  • Communicates with Supervisor and/or Vendors to maximize inventory effectiveness.

Other duties as assigned.


Required Qualifications
  • Entry level experience performing stores (retail) and inventory work; AND
  • Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods.
  • Knowledge of spoken and written English at the high school graduate level.
  • Conflict resolution skills and the ability to demonstrate effective time management.

  • Must be able to maintain compliance with organizational guidelines and policies.

  • Driver’s license and driving record that meets OHSU’s driving requirements.

  • Hazmat certification within 3 months of hire through OHSU.


Preferred Qualifications
  • High School Diploma or GED.
  • Must be able to read and write English and have basic mathematical skills.
  • Two years of warehouse experience and two years of customer service experience is preferred.

  • Working knowledge of hospital materials management distribution systems.

  • Medical supply familiarity, knowledge of OHSU systems, and medical terminology is preferred.

  • Understanding how to set min/max’s.
  • Experience using handheld counting devices.
  • Forklift training preferred.

Additional Details

The employee might encounter soiled linen during job tasks. Employees may handle the handling, picking, and stocking of hazardous items such as fluids, including Cidex. Hazardous material handling training will be provided to ensure that employees are well-equipped to handle such materials safely.

 

It is essential to observe proper safety precautions before dealing with any hazardous or soiled materials. In this role, employees may work in environments exposed to various weather elements, such as rain, hail, snow, heat, humidity, and wind. Additionally, there may be fluctuating noise levels, dust, vibrations, and occasional wet or slippery areas.
