Bookkeeper/Administrative Assistant (part-time)

Job Description

Hillside Public Library is seeking a detail-oriented part-time Bookkeeper/Administrative Assistant. This position is responsible for all financial record keeping, vendor relations, purchase orders, cash tally reconciliation, bank deposit reconciliation, monthly preparation of Board Meeting financial reports, Board Meeting minutes recording and preparation, payment of bills, supply inventory, payroll and paid time off record keeping, and other duties as required under the direction of the Library Director.

Responsibilities Include:

Bookkeeping

  • Posting and journalizing of invoices

  • General ledger posting

  • Balance sheet and general ledger reconciliation

  • Journal entries

  • Cash flow monitoring

  • Ongoing year-end financial forecasting

  • Vendor payables and receivables management

  • Assist with preparation for annual audits

Payroll/Benefits Administration Support

  • Payroll preparation and execution

  • Employee enrollment, change and termination

  • Health plan and insurance maintenance

  • Pension reporting

  • Tracking employee leave balances

Office Administration

  • Monitoring and maintaining office supplies

  • Tracking and maintaining internal systems and supports

Board of Trustees Support

  • Recording and preparing minutes for Board of Trustees

  • Sending regular reminders and updates to board members at the direction of the Library Director

MINIMUM QUALIFICATIONS:

Knowledge of bookkeeping principles

High-school diploma with at least 2 years bookkeeping experience; or Bachelors degree in related fields

Fluency in Quickbooks, word processing and spreadsheet software applications

The ability to effectively communicate and work as part of a team.

Strong candidates will have excellent bookkeeping skills; a keen eye for detail matched with perspective on the big picture; the perspective and experience to anticipate organizational needs; the ability to set priorities and meet deadlines; and the disposition to thrive in a highly collaborative, friendly, small team environment.

SCHEDULE: 15 hours per week on-site, flexible scheduling during Library’s open hours. At least 1 evening/month for Board Meetings.

BENEFITS: Paid holiday and sick leave; participation in Defined Contribution Retirement Plan - DCRP, contributing a minimum of 5.5% of their gross salary, with an employer contribution of 3%.

REPORTS TO: This position reports directly to the Library Director.
