The Riverside County Sheriff's Department is accepting applications for a
Sheriff Court Services Assistant I/II position for
Court Services in
Riverside. The incumbent will be responsible for performing specialized civil legal clerical support. Tasks include, but are not limited to the following:
- Preparing, processing, and tracking legal documents for numerous civil legal actions.
- Providing procedural and case information to the public, litigants, law enforcement officials, and/or other employees.
- Receiving, examining, filing, and maintaining legal documents.
- Processing claims, invoices, purchase orders, payments, and warrants.
Sheriff's Court Services Assistant I is the entry level classification in the Sheriff's Court Services Assistant series and reports to a supervisory or manager level position. Incumbents are responsible for learning legal terminology and to prepare, examine and process legal documents in support of Sheriff's Court Services, utilizing journey level clerical skills and limited application of specialized civil legal procedures and processes.
The Sheriff's Court Services Assistant I is a natural progression underfill for the Sheriff's Court Services Assistant II classification. Incumbents are expected to progress to the Sheriff's Court Services Assistant II after satisfactory job performance and meeting the minimum qualifications.
The Sheriff's Court Services Assistant II is the journey-level classification in the series. Incumbents hired into the Sheriff's Court Services Assistant I position are expected to progress to the Sheriff's Court Services Assistant II after satisfactory job performance and meeting the minimum qualifications.

Sheriff Court Services Assistant I • In a learning capacity, process legal documents and records through the Sheriff's Court Services process based on established procedure or special instructions in case files from the courts, judges, or attorneys; examine documents for conformance with established rules, standards and/or legal requirements.
• Provide the public, litigants, law enforcement officials, and/or other employees' procedural and case information, which requires distinguishing among and consideration of sensitive, protected and public information and requires understanding or interpretation/explanation of legal documents (e.g., subpoenas, evictions, earnings withholding orders, legal/court procedures, or specific file notations regarding case/processing and status).
• Track documents for civil procedures such as evictions, bankruptcies, small claims, summons and complaints, civil and criminal subpoenas, restraining orders, and earnings withholding orders through the civil process for case file building by obtaining signatures and attaching required addenda, ensuring validity and adherence to statutory time limits, answering questions and explaining civil code procedures to litigants and their attorneys.
• Based on court judgments, maintain records for levies on judgment debtor's/defendant's bank accounts, wages or vehicles; process accounts receivable, stock certificates and real properties; prepare and/or process public notices of sale, bids for sales, notices of attachments, notices of levy, release of levy, notices of modification and termination, notices of bankruptcy, claims of exemptions, opposition to claims, and third party claims to comply with court, litigant or attorney instruction.
• Compare plaintiffs' and court's documentation to civil code for consistency before execution; disburse monies after prescribed periods; return writs to court after appropriate documentation showing completion of instruction.
• Prepare correspondence and/or legal forms and documents in compliance with written procedural guidelines set forth by the department.
• Make notations to case files and draw the attention of the attorney or litigant to case or procedural detail.
• Maintain case status information and contact with interested parties; notify litigants and/or other involved parties of case disposition.
• Maintain reference materials, records systems, status logs, and/or workload statistics; sort and store information based on alpha, numeric, content or other classification method; search for and retrieve information stored in manual and/or automated systems; purge files in accordance with established procedure.
Sheriff Court Services Assistant II • Independently processes legal documents and records through the Sheriff's Court Services process based on established procedure or special instructions in case files from the courts, judges, or attorneys; examines documents for conformance with established rules, standards and/or legal requirements.
• Gives the public, litigants, law enforcement officials and/or other employees procedural and case information which requires distinguishing among, and consideration of, sensitive, protected, and public information and requires understanding or interpretation/explanation of legal documents (e.g., subpoenas, evictions, earnings withholding orders), legal/court procedures or specific file notations regarding case/processing and status.

Sheriff Court Services Assistant I OPTION IExperience: One year of clerical experience.
OPTION IIEducation: Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial sciences, office practices, business education or a closely related field to the assignment.
OPTION III Education: Completion of 360 hours of training from a recognized occupational training program in secretarial sciences, business education or a closely related field to the assignment.
Other RequirementsLicense: Possession of a valid California Driver's License is required.
**Proof of education must be uploaded with application**If your education was completed outside of the United States, you will need to provide a copy of your Foreign Education Equivalency evaluation from a member of the National Association of Credential Evaluation Services ( NACES ) or Association of International Credential Evaluators, Inc. ( AICE ).

Sheriff Court Services Assistant II Experience: Six months of experience as a Sheriff's Court Services Assistant I in Riverside County or equivalent court experience.
Other RequirementsLicense: Possession of a valid California Driver's License is required.
Knowledge of: Forms, records and document processing procedures and civil legal terminology; general clerical and technical resource materials and information sources; public information and contact techniques; the structure and functions of law enforcement and judicial system; department services and operations; office procedures; automated systems used in information storage and document preparation; interrelationship of public legal services and functions; methods of recording, researching and compiling information; document preparation.
Ability to: Examine documents for completeness, sufficiency and conformity; process documents according to established procedures; understand legal terminology and file notations; maintain currency with changes in civil legal procedures affecting work; read and apply laws, regulations and procedures; refer the public to services provided by other units, departments and/or agencies; research regulations, procedures and/or technical reference materials; organize and prioritize work assignments; perform civil legal clerical work independently.
