Job Overview:
In this role, the Project Coordinator assists Project Managers to support project management and various aspects of project execution, as well as assist with administrative tasks of multiple projects.
Essential Duties and Responsibilities:
- Transmittal of engineering documentation to Clients and/or Vendors
- Request and track submittals
- Document Control of electronic and SharePoint files
- Maintain external electronic files with clients.
- Collaborate with editors/users
- Provide Project Manager with requested updates
- Expense Reports to Projects.
- Aid on a per-project basis in the tracking and capacity management of projects
- Run weekly cost reports
- Track parts status and provide requested updates.
- Run Bill of Materials
- Financial aspects of Projects
- Subcontracting for Projects
- Issue Purchase Orders
- Tracking payments by purchase order
- Close out of purchase orders
- Milestone Invoicing on projects
- Revenue recognition (Percent of Completion, Unit, etc.)
- Credit/Debit Memos
- Interact and communicate with both external and internal clients on a professional and confidential basis
- Initial setup and maintenance of Project Orders in SAP (ERP/MRP System)
- Domestic Export Parts
- Change management, change orders and track sales by quarter.
- Developing and loading Excel spreadsheets for special analysis and reports, as required.
- Run shortage reports for parts and update Project Managers
- Work closely with Sourcing on updates, expediting choices from Vendors
- Work with warehousing for shipment of parts to client
- Import/Export orders
- Customer communication on orders
- Customize exporting paperwork as required by Country
- Work with Exporters to coordinate shipment/vessels
- Respond to internal and external customer inquiries on shipments, documents, etc.
- Aid in resolving parts and assembly discrepancies
- Check product availability
- Work with outside Vendor on Certificates of Origin for New Units
- Assist Project Manager with warranty issues on new units
- Create Field Orders for service and/or parts on warranties
- Work with outside Translation services for document translation
Required Skills and Experience
- High school diploma/GED equivalient required; further education is a plus.
- Minimum of 7-10 years of experience in Service/Operations Support
- Knowledge of general office management and current computer/office communication technologies.
- Intermediate Excel (Pivot Tables, SumIfs, VLookup), Word and Outlook
- SAP experience required
- Strong interpersonal, written, and oral communications skills
- Effective time management and organizational skills; able to balance multiple priorities.
- A team player with a good work ethic and willingness to adapt to change.
- Ability to work independently
- Strong problem-solving skills
