Job Description

The Tax Identification and Assignment Tax Searcher III performs and ensures the accurate assignment and maintenance of agency tax identifications (parcel numbers) for each contract (loan) under service in accordance with Report Processing priorities. Ability to work contracts in all states, primarily handling those of greater legal complexity such as Commercial, MAC and Parcel Pro which have higher risk. The Tax Searcher III acquires tax identifier information to support for C-service and delinquency reporting in a timely and accurate manner, including those of a complex nature. Regularly reviews and updates training and resource material on SharePoint as changes in agencies, formats, collection and available internet resources occur.

Essential Functions:

The essential duties of the position to be performed with or without accommodation.

Tax Identification Assignment:
• Using Tax rolls, assessor’s maps, or other indices from contract property addresses/and or legal’s ensuring that all tax agencies and tax identification numbers are accurately identified and assigned to new and existing contracts under service based on systems due dates, proficient in multiple states and able to search all states.
• Performs Quality Control (QC) in both Tax Searching Queues and other projects assigned.
• Provides guidance to new staff through mentoring as assigned by Supervisor or Manager.

Tax Data Lien Maintenance (TDM)
• Guided by established system due dates, ensures that all tax agencies and tax identification numbers are updated accurately within the Tax Lien Data Maintenance system.
• Performs additional audits as needed for system data integrity and LERETA Masterfile validations.

Report Processing Department Support
• Based on Report Processing Department priorities, obtains and documents tax amount and delinquency information through field trips.
Communication within Internal Teams
• Assertively communicates status of assignments and any opportunities for improving department’s performance to the appropriate lead person or manager within the organization.
• Responds within 48 hrs. to customer inquiries and resolve research requests within guidelines.

Special Projects
• The ability to manage and run search related projects that directly impact the team.

Customer Service Rotary and Exception emails
• Completes first pass on all rotary assignments within 48 hours. Maintain follow-up dates and communicates sufficient information in rotary response to request to ensure clear communication for accurate and efficient resolution of all requests.
• Responds within 48 hours to customer inquiries and resolve research requests within guidelines.

This position will perform other duties as assigned based on the needs of the department.

• Possession of legible handwriting.
• Demonstrate cooperativeness in working with Report Processing and other personnel in fulfilling the searching priorities among tax agencies.
• Ability to complete complex searching assignments within established quality standards and productivity in all states.
• Ability to be available for extended periods of travel must possess a valid driver’s license, and an insured vehicle which can be used for travel.
• Ability to work in a fast-paced environment.
• Demonstrate resourcefulness in determining the most effective and efficient means of acquiring tax information from agencies.

Qualifications

Required Education & Experience Education and experience based on requirements that are job-related and consistent with business necessity.

• Minimum 7 years of legal description research (including complex metes and bounds).
• Thorough knowledge of tax searching methods for agencies within the assigned region.
• Demonstrate resourcefulness in determining the most effective and efficient means of acquiring tax information from agencies.
High school diploma or equivalent.

Preferred Education & Experience Preferred education and experience based on requirements that are job-related and consistent with business necessity.

• Previous research or analytical related experience.
• Proficiency in using Microsoft Office/internet searching.
• Experience working in a fast paced production environment.

Supervisory Responsibility The level of management responsibility.
