Senior Police Records Coordinator - 533943

Job Summary:

Coordinates and manages the functions related to police records and processes documents associated with the Records Section.

  • Facilitates the release of police and accident reports to internal and external parties including the public. Process and maintain the filing system of the police reports, and associated attachments, through Records Management System (RMS) and the manual filing system. Reconciles case reports at the end of the calendar year.
  • Performs the daily name merge process on the Records Management System. Conducts an audit process on the police reports ensuring they are correctly and accurately reported. Clears the outstanding FCIC/NCIC hits to close out a case. Collaborate with the Compliance Analyst on clearing FIBRS errors.
  • Works with Student Conduct, Panther NOW, State Attorney's office, Insurance companies and various University Departments on the release of reports in accordance with public records compliance. Also, provides statistical and historical data to various internal and external entities.
  • Serves as the backup to process and file all Significant Incident Reports (SIR) with their respective cases.
  • Process and coordinate high volume and sensitive public records requests with FIU's General Counsel; including records requests related to lawsuits and subpoenas. Ensures that public records requests are managed and processed in accordance with Florida State Statutes.
  • Reviews all Crash Reports that are returned from DHSMV and coordinates and follows up with the Officer of the necessary corrections to be made before resubmitting to DHSMV.
  • Corresponds and coordinates with Department of Motor Vehicles to return confiscated license plates.
  • Serves as a liaison with matters pertaining to the retention and destruction of records; maintains records in accordance with public records scheduling and disposition standards and procedures. Prepare files to be destroyed and advises the Assistant Director of Admin Services of destruction life cycle.
  • Assists in the Clery process and acts as the back-up for the submission of the Clery Reporting requirements.
  • Oversee the requests from background investigators for records and clearance checks for the necessary individuals concerned.
  • Manage the filing of recovered property from FCIC/NCIC records and processing the retention of those records.
  • Process all expungements and sealed court orders while coordinating the process ensuring all necessary parties have completed their duties to fully complete the order.
  • Prepares and conducts training on the use of the report writing system. Educates personnel on the best practices of ensuring police reports are complete and comprehensive.
  • Coordinate with investigations on the referral of police cases to the appropriate party.

Salary: $50,000 - $55,000

End time: 5:00 PM

Qualifications
