Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 4 for the Office of Alumni Engagement in the University Advancement division.  This position will provide support to the Executive Director of Alumni Engagement and up to four Managers. This role will serves as first point of contact between donors, community leaders, alumni, government officials, the University President, Vice Presidents, Deans and other university faculty and staff. The Admin Assistant 4 works as department office manager handling all supplies and department accounts to include payables, receivables and reconciliation while adhering to University and Foundation accounting gift and deposit deadlines.

The Administrative Assistant 4 manages all in person and virtual Nevada Alumni Council and Executive Committee meetings which entails booking space, room set-up, catering, meeting notices, minutes and post-meeting follow-up. The role will play a critical role in all department events with the responsibility of overseeing venue payments, taking reservations, creating RSVP lists/nametags/etc., working with IT to create online payment links, pulling invitation queries as well as collecting and depositing guest payments. The ideal candidate will be a liaison between the alumni department, multiple chapters and their leadership groups, responsible for working with Donor Records and the IT team to distribute all e-communications through the constituent database as well as pulling constituent lists for various events programs and research as needed.

Required Qualifications

  • Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR

  • An equivalent combination of education and experience as described above.

Preferred Qualifications

  • Microsoft Office

  • Adobe Creative Suite

  • Financial experience to include payables, receivables and account reconciliation

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm with some weekends and evenings as needed; this is subject to change based on organizational needs.

Compensation Grade

Grade 29 (Entry, Step 01 $24.02/hr. – Step 03 $26.07/hr.)

 In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
