Coordinates the day to day operational and administrative operations of the Department of Civil and Environmental Engineering. Administers the Department academic and service functions. Serves a main point of contact for undergraduate students. Provides administrative support to the Department Chair, faculty, and undergraduate students, as needed. Demonstrates broad decision-making authority, judgement, and independence, and originates new concepts or approaches to help the Department achieve the established metrics. Maintains records for the Department, including documents and information necessary for ABET and SACS accreditation. Acts as liaison between the department and Dean's office to support the execution of the school construction and/or maintenance projects.

  • Oversees and facilitates operational activities in the Department including, but not limited to student enrollment, assistantships, class permissions; course transfers, cancellations, late fees, tuition waivers, and other related tasks to facilitate student success and other department metrics.
  • Maintains records for the Department, including documents/information necessary for ABET and SACS accreditation, student records, etc. Assists Department with accreditation assessment preparation.
  • Partners with Department leadership to prepare course schedule. Inputs the information in the University system and processes all classroom/room requests to space and scheduling. Submits request for Adjuncts and Overloads contracts to the College HR team.
  • Reviews and coordinates departmental budget and expenditures by working with the department leadership and the college. Coordinates with the College Finance team to ensure that the department expenditures and consistent with approved budget
  • Collects and analyzes data. Assists with the preparation and production of various Department reports, including the annual reports and assessments.
  • Serves as the school facilities liaison between the department and Dean's office to support the execution of the school construction and/or maintenance projects. Prepares minor project requests, work orders and requisitions as needed in order to complete the projects. Responsible for following up on expected deliverables throughout the process until project is completed.
  • Serves a Proxy for the Department Chair on Human Resources related transactions. Assists with the logistics associated with hiring and terminating new employees for the Department. Supervises temporary personnel.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Maintains record of requisitions, and credit card transactions Provides details on transactions as needed for account reconciliation, budgeting and reporting purposes.
  • Coordinates all logistical matters related to property control by arranging inventory central visits and preparing property control forms, as needed. Processes keys requests and maintains a log of keys distributed to faculty, admin/staff, and students.
  • Performs administrative duties in support of the Department faculty and students. Serves as primary point of contact for the Department. Provides logistical support for meetings and events. Prepares agendas, presentations, reports, and other documents and communications.
  • Provides administrative support to the Department Chair. Manages correspondence, phone calls and other forms of communications. Determines matters requiring the immediate attention and prioritizes accordingly. Responds to information requests with highest level of confidentiality.
  • Monitors Department website to ensure that information is up to date. Request updates to the website when needed. Post thesis/dissertation announcements for prospective graduates.
  • Creates purchase requisitions in People Soft, tracks purchase orders and enters receipt confirmation for payment to vendors to be processed. Maintains Department office supplies inventory and processes office supplies orders. Assists the Department with property control by arranging inventory central visits and preparing property control forms, as needed. Processes keys requests and maintains a log of keys distributed to faculty, admin/staff and students.
  • Schedules travel arrangements for the Department. Prepares and processes travel authorization requests, travel reimbursement vouchers, general reimbursement vouchers and computes the encumbrance and reimbursement of travel expenses.
  • Provides assistance to the designated School Events Liaison with the preparation of School and College-wide events, such as the Senior Design Expo and others, as needed.
  • Interprets and analyzes information, makes appropriate recommendations to Department management and partners with management team to develop and or enhance Department policies and procedures.

Minimum Qualifications:

  • Bachelor's degree and two (2) years of office or related experience.
