Job Description

Summary: Assists the Clinical Manager by providing leadership and training to the reception team and ensuring day to day functions of the reception staff are met. Operates multi-line telephone system to answer incoming calls and receives and registers patients and visitors in a prompt and courteous manner by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Prioritizes daily reception assignments based on employee and provider staffing
Trains receptionists under the guidance of clinical manager and office policies
Provides reception staff performance feedback to clinical manager
Disseminates and ensures reception-related policy changes/updates are properly implemented
Greets and registers incoming patients and visitors in a prompt and pleasant manner, determines their needs and responds accordingly
Receives, sorts, and routes mail
Retrieves Callpointe Reports via email every morning reviews report and cancels any canceled appointment made by the patient
Collects, copies/scans and updates personal and financial information (insurance cards, drivers license, etc.) obtained from patients
Verifies medical insurance (HMO, PPO, Medicare, and Medi-Cal) for eligibility and benefits
Collects co-pays and payments, provides receipts, and enters payments
Balances daily to payment deposit slip
Prepares weekly deposit and submits transmittal information per policy
Schedules and confirms patient appointments according to office policy for physician

Logs in to Messaging-Patient Portal via EMR on a daily basis and follows up on emails
Processes lab orders as requested by provider
Processes and initiates correspondence/reports as assigned by clinical manager or designee
Selects appropriate forms based on patients appointment type
Follows HIPAA confidentiality and security rules when providing information
Maintains an orderly, neat and clean front desk area and waiting room

Required Experience:

3+ years experience as a Team Leader

5+ years experience as a Medical Receptionist

Strong knowledge of medical insurance (HMO, PPO, Medicare, Medi-cal)

Excellent customer service

Education/Experience: High school diploma or equivalent; and at least three years related experience.

Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability: Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money.

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

Computer Skills: To perform this job successfully, an individual should have knowledge of Word Processing software, Internet software and Electronic Medical Records.
